We are seeking a detail-oriented and highly organized Administrative Assistant to provide essential support to our Project Management team. This role will play a key part in the coordination, planning, and execution of construction projects, ensuring smooth administrative operations and clear communication between departments.

Responsibilities

General Description: 

 

The Administrative Assistant is responsible for supporting the BUS team on planning, and facilitation of projects. 

 

 Essential Duties: 

  • Support the BUS Team with all administrative tasks 
  • Assist with creating job master purchase orders to input into accounting software. 
  • Assist with identifying investigate and explain job budget variances 
  • Assist with data entry, filing, retrieving faxes and scanning documents into job folder 
  • Update accounting software with relevant information as needed. 
  • Collaborate with Superintendents and Estimating department to secure pricing for various materials using existing and potential new suppliers. 
  • Assist Field Superintendents with miscellaneous job issues as required. 
  • Print plans/addendum/notices from various plan sites. 
  • Other duties as assigned. 

Qualifications

  • Some college coursework preferred; coursework or background in construction or project management a plus.

  • 1–2 years of experience in a construction or project management environment preferred.

  • Strong organizational and record-keeping abilities, with excellent follow-up skills.

  • High attention to detail and accuracy in work.

  • Proficient in English; Spanish language skills are a plus.

  • Strong adaptability and the ability to work both independently and as part of a team.

  • Proficiency in Microsoft Office, particularly Excel and Word.

  • Valid driver’s license and clean driving record required.

Physical Requirements:

  • Ability to perform a variety of physical tasks, including standing, sitting, bending, kneeling, squatting, and occasional lifting or pushing of materials up to 25 lbs.
