We are seeking a detail-oriented and highly organized Administrative Assistant to provide essential support to our Project Management team. This role will play a key part in the coordination, planning, and execution of construction projects, ensuring smooth administrative operations and clear communication between departments.

Responsibilities

  • Provide comprehensive administrative support to the Project Management team.

  • Create and input master purchase orders into accounting software systems.

  • Analyze and explain job cost variances in collaboration with project staff.

  • Perform data entry, organize files, retrieve faxes, and scan documents into digital job folders.

  • Update accounting and project management systems with accurate and current information.

  • Work with Superintendents and Estimators to gather material pricing from current and prospective vendors.

  • Support Field Superintendents with various on-site and administrative needs.

  • Download and print plans, addendums, and notices from construction plan distribution platforms.

  • Perform other administrative and support duties as assigned.

Pay Range: $22.00 – $26.00 per hour (based on experience and qualifications)

Qualifications

  • Some college coursework preferred; coursework or background in construction or project management a plus.

  • 1–2 years of experience in a construction or project management environment preferred.

  • Strong organizational and record-keeping abilities, with excellent follow-up skills.

  • High attention to detail and accuracy in work.

  • Proficient in English; Spanish language skills are a plus.

  • Strong adaptability and the ability to work both independently and as part of a team.

  • Proficiency in Microsoft Office, particularly Excel and Word.

  • Valid driver’s license and clean driving record required.

Physical Requirements:

  • Ability to perform a variety of physical tasks, including standing, sitting, bending, kneeling, squatting, and occasional lifting or pushing of materials up to 25 lbs.
